A Plymouth based stationary and office furniture business, Westcare, are looking to expand their workforce by recruiting an administration assistants to join their highly skilled and motivated team.

The Apprentice’s Role

The duties of this Business Administration vacancy will include, answering the phone, invoicing and crediting customers, purchasing, learning the companies specialist software system, word processing and using Excel spread sheets, faxing, emailing, photocopying and shredding.

This is a varied role which will include a number of different duties such as the processing of customer orders, maintaining a close relationship with customers, suppliers and delivery companies. You will be managing customers satisfaction, on a post job assessment, purchase feedback and monitoring deliveries. It will entail maintaining on-going communication with the customer, post work / sale, in relation to all their satisfaction, future requirements, and any issues they are experiencing.

You should have good communication skills:- an eloquent, friendly, personable manner when dealing with customers suppliers and colleagues alike and have competent IT skills for the monitoring of customer accounts and the processing of online sales etc.

Working Hours: The working hours will be 40 hours per week, Monday to Friday, 8.30am – 5.30pm.

Wages: £140.00 per week, based on a 40 hour week. Any overtime above the 40 hours per week, will be paid at the appropriate national minimum wage depending on age.

Holiday: 28 days holiday entitlement (including bank holidays) will be paid each year, during the course of your apprenticeship.

For over 20 years, Westcare has provided its business and education clients with office and educational supplies from their offices in Devon and Cornwall. Their clients are located throughout Plymouth, Exeter, Devon, Cornwall, Somerset and Avon and they have a nationwide delivery network.

Their products and services range from paper, office stationery, business cards, print and design. They also offer machine consumables, MPS (Managed Print Services), all leading manufacturers of printers and photocopiers, Office and School Supplies and Furniture. Their projects division collaborates with business and education clients, old and new, when moving, building or refurbishing. They also provide a free design service, including CAD plans, and free assessments and advice to select the most ergonomic furniture and workstations.

Past Apprentices

Westcare have previously had office based apprentices from Skills Group who completed their qualifications and stayed on with the firm for several years.

On completion of your level 2 qualification in business administration the opportunity will be available to progress onto a level 3.

Skills Required

You must have the ability to deal with customers and colleagues on a friendly yet professional basis. You will also be required to have good basic ICT knowledge as you will be using Microsoft Outlook, Word and Excel plus other in-house software systems.

A good telephone manner is a must as you will be the main point of contact for the majority of incoming calls. You must be keen to learn and be part of a busy organisation plus be able to handle the pressure that comes with this. Owning a clean UK driving license would also be beneficial as visits to clients may be required on occasions.

Personal Qualities

You must be honest, reliable and have a natural interest in business administration.

Prior Qualifications

The required qualifications for this role are GCSE Maths and English at Grade C or above. ICT Skills would also be advantageous.

The Apprenticeship in Business Administration consists of:

  • Level 2 Diploma in Business Administration
  • Functional Skills in Maths, English and ICT
  • Health and Safety Certificate
  • Emergency First Aid

Most aspects of your training will be delivered on-site by the employer, where you will gain all the skills, knowledge and experience to assist you in this role. Your duties will vary from day to day, and throughout your on-site learning process you will work closely with experienced members of staff.

You will have regular visits every six to eight weeks from your designated assessor, who will help you and monitor your progress throughout your apprenticeship programme.
